Registration Terms

Terms in the following document apply to anyone registered to attend FlightSimExpo 2024, including both in-person and online attendees.

In this document, "you" means you once you have registered for the event, "we", "us" and "our" means or refers to FlightSimExpo Management Inc., "Event" means FlightSimExpo 2024, "Rio" means the Rio Las Vegas, "Other Hotels" means other properties contracted by us, "Event Venues" means locations at which the Event takes place, including the Rio Las Vegas.

This document is current as of April 6, 2024, and applies to registrations made on or after that date.

Registrant-Initiated Changes, Cancellations, and Refunds

For in-person registrations made before April 23, 2024:

All FSA Member Early Bird registrations are strictly non-refundable. Other registrations are eligible for a 100% refund within 60 days of purchase. Please email your request to cancel and refund registration fees to info@flightsimexpo.com. While we are unable to issue a refund after 60 days of purchase, name changes are permitted at any time, at no charge.

For in-person registrations made on or after April 23, 2024:

Registrations are eligible for a refund, less a $35 per-transaction administration fee. This fee helps cover fees that we incur on purchases and refunds and includes applicable sales tax. Please email your request to cancel and refund registration fees to info@flightsimexpo.com. Name changes are permitted at any time, at no charge.

Applicable to All Registrations

Online-Only registrations are non-refundable at any time.

After June 19, 2024, all in-person registrations are non-refundable.

Pre-Purchased Shirts

Pre-purchased shirts are non-refundable after May 12, 2024 and must be picked up on-site by 12pm on Saturday, June 22. Sunday-Only attendees may pick up shirts on Sunday, June 23.

Media Release

Photographers, videographers, and general media personnel will be at the Event. You consent to and authorize us, along with exhibitors, media partners, sponsors, and other organizations/persons attending the event, to use photographs, images, and any and all audio and video within which you may appear or be heard. Such media may be posted on our website and in print and marketing publications. You authorize this use without compensation or further explicit authorization.

Contact Information

We have the right to use contact information provided during registration. This includes sharing or obtaining information provided with current and prospective organizations that we have retained for the purpose of developing our event. This may include: our host hotels, Event Venues, MailChimp, RegFox, Google Analytics, event planning consultants, and similar organizations. We will also share general demographic information with sponsors, exhibitors, and/or the public. However, information such as an email address will never be shared with a third party without consent, except a third party who we have retained as described above.

Your information may also be included in the conference’s electronic program and directory and in the official conference app. If you do not want to appear in these locations, please contact info@flightsimexpo.com with your request before May 1, 2024.

Contact information will be used by us for administration, communication, informational and marketing purposes for the duration of this Event and in the future. FlightSimExpo does not retain credit card data.

In accordance with our Privacy Policy, you have the right to inquire about the data we have concerning you, and the right to request that data be removed. Please submit requests about contact information to privacy@flightsimexpo.com.

We do not distribute contact information except as described above and never sell personal information.

Food and Beverage

Event Venues have the sole right for the distribution and sale of any and all food and drink (whether alcoholic or not). You will not sell, give away, or distribute any food or drink without our written consent.

Alcohol

The Event is governed by strict contract terms restricting the consumption or possession of alcohol to persons at least 21 years of age.

If you or any of your delegates are under the age of 21, you agree that you and they will not consume or have possession of any alcohol and will not participate in any activities that are restricted to individuals of age (e.g., gambling).

Commissions and Other Payments

As part of our agreements with the hotel and other providers, which are designed to offer you and other attendees volume discounts, we may receive commission or other revenue-based payments.

Admission to FlightSimExpo

We reserve the right to refuse any person admission to the Event, for any reason, in our sole discretion and to remove you if your behavior is deemed inappropriate and no refund of registration fees or attendance costs will be made. In the context of our online event, we reserve the right to remove, ban, or otherwise prevent you from participating in the online event for any reason, in our sole discretion. If you are refused entry to, or removed from, the Event, you will not be eligible for a refund on registration fees.

Postponement or Cancellation of the Event

We have sole discretion to postpone or cancel the Event at any time. You agree that we will have no liability to you for any losses resulting from any delay or cancellation, including any travel or hotel costs. Further, we are not required to provide any refund of your registration fee should we cancel the Event.

Limitation of Liability

Registration provides access to the online and/or in-person event venue and associated presentations/seminars only and does not include or involve other activities you may elect to participate in during your time in Las Vegas, including but not limited to the other activities we may organize. You are solely responsible for your personal belongings and possessions (like laptops or cell phones), brought to the Event. We do not provide storage for personal property.

You acknowledge and agree that we are not responsible for your personal safety or for any loss, injury or damage to you or your property, however caused. In all cases, you agree that our liability to you will be strictly limited to the amount paid for your registration.
